Registration

What does the Registration Fee include?

The on-site/non-Emory fee includes the registration fee, meals, and lodging for all 5 nights of the course. All three meals are included Monday through Thursday as well as Friday’s breakfast and lunch.

The Emory/off-site fee includes all of the above except for the lodging and breakfast (Monday – Thursday). The participant will need to make their own arrangements for lodging. All activities through the course, including meal and recreation times, are intended to promote and facilitate scientific discussion and exchange information.

What if I am not able to stay for the entire course? Can fees be prorated?

HERCULES hopes that all attendees will participate in the entire meeting to gain the most out of the experience. Therefore, the full registration fee will be charged regardless of the length of time a conferee attends and cannot be prorated.

Housing

Where on-campus will lodging be located?

Housing will be provided in the Woodruff Hall near the Rollins School of Public Health. This is less than a five-minute walk from the main course building. The address is 1495 Clifton Rd, Atlanta, GA 30329.

If I am planning to stay off-site, what hotels are nearby?

Activities

What is within walking distance of campus?

Emory Village provides a variety of food options.

Emory Point provides a variety of food and shopping options near the Rollins School of Public Health.

Lullwater Park offers an ideal location for a break from course activities. This scenic park located within a few minutes of the Rollins School of Public Health offers a range of scenic walking and running trail loops. Lullwater trail also passes by the Lullwater House mansion and Candler Lake.

Will I have access to fitness facilities?

Access to the Woodruff P.E. Center is available for on-site conference participants throughout the week. Learn more about the facilities here.

I want to stay before/after the course to explore Atlanta. What are some recommended activities?

Deadlines/Timelines

I would like to submit an abstract. What is the submission deadline?

Submissions should be completed by May 10th to Kristine Dennis

When will I be notified if my abstract has been accepted for the poster session?

Notification of abstract acceptance will be by May 11th.

When will I receive more detailed information about the course agenda?

Full information with specific schedule information will be emailed to participants two weeks prior to the event.

Additional details regarding the meeting agenda will be released through the HERCULES website continually over the coming weeks.

Poster Sessions

What is the suggested poster format?

Poster boards will be 40 inches x 60 inches. We encourage you to not exceed the surface space provided and follow guidelines such as those defined by other societies’ conferences (see SOT’s suggested guidelines here).

What to bring

What is the course dress code?

Attire for the meeting is casual, except for Tuesday evening at the Georgia Aquarium which is business casual.  Summers in Atlanta are hot (average high temperature is 85 degree F), but the buildings are air conditioned (70-72 degrees F).  Please dress accordingly.

What is the dress code for the evening at the Aquarium?

Business casual is recommended.

Will I need to bring a laptop?

Yes, please have a laptop available for the hands-on afternoon sessions.

Will I need to download/have specific computer programs in advance of the course?

Any programs that you need will be provided during the course.
